DAAS User Roles and Instructions

The basic functionality of the DAAS is to provide a platform to create, share, view, update, and comment on knowledge shared by a community of users. There three users: Administrator, Creator, and Viewer.

Creator

Let’s start with the Creator. This role has access to create knowledge. The user starts by logging in to a secure site. Creators have a link to “Create New Article”. From here they provide the following information to categorize the article they are submitting:

  • Title – Create a title summarizing the article being shared
  • Type – Select a radio button that best matches the type of article being submitted (Technical or Non-Technical).
  • Category – Enter the category of article
  • Tags – Create content tags for the article being submitted. Tags aid in the searching of the articles by Viewers.
  • Description – Enter the primary content of the article being shared
  • Attachments – Attach helpful documents for associated with the article being shared
  • Visibility – Enter who is able to view the article being created

When all pertinent information has been entered onto the Create New Article page, the creator submits the article for approval by the Administrator. When the article is approved, it will be available for others to search and access. Once the Creator clicks “Submit for Approval”, they are returned to their home page. The Home Page lists the user’s most recent activity that was searched, read, and/or created by the user.

Creators also have the ability to view all articles they have submitted (My Submissions) and articles that they have bookmarked.

From the Home Page, Creators can search the knowledge available using the “Search knowledge” feature by entering search criteria

Administrator

When the Administrator logs onto DAAS, they are provided with an Approval Queue on the left hand navigation. The Approval Queue lists the articles that have been submitted for their review. The Administrator selects an article and is provided with an option to either “Approve or Publish” or “Reject” the article after it has been reviewed. They also have the ability to improve the usefulness of an article by verifying whether the content was useful to them or not.

The Administrator can view all articles approved by them and also has the user rights to create and submit articles.

Viewer

A viewer can search a database of articles on various topics submitted by other users. Their access is read-only with the exception of being able to vote (yes or no) whether the article was helpful to them or not.
